Specialist Commercial Operations Hybrid from our offices in Cambridge, UK; Frankfurt, Germany or Gallarate, Italy The Job As part of the Global Business Operations Team member, the Commercial Operations Assistant will ensure the administrative aspect of the AVEVA order processing and customer service functions. This position focuses heavily on having an eye for detail and on being able to provide prompt and accurate responses to customer inquiries. Responsibilities: - Learn responsibilities and day to day tasks from the teams: - Order Management - Responsible for end-to-end process of order entry till invoice & front-end department in customer cash collection (work closely with shared service organization). This will include processing new customer software and services orders, maintaining open customer contracts, requesting invoices, and supporting credit control - Support & coordinate order entry activity with sales & finance departments - Project Administration - Project Administration in ERP including project booking and related processes during the life of the project, timesheet scope etc. - End to end process of order entry till invoice & front-end department in customer cash collection (work closely with shared service organization) - Ad-hoc coordination, as required, to support BAU activities on behalf of the Managers, Directors and VP of Commercial Operations - Review of billings - PO in advance - On hold orders - Represent the teams in any associated project meetings, UAT's, project trainings - Coordinate internal resources, ensuring that projects remain within scope and schedule - Share project progress - Assign roles and tasks to team members based on their individual strengths and abilities Skills and Responsibilities: - Experience in Order Entry or similar role - Experience in project coordination - Proven success in a corporate setting, working with all levels of management - Strong written, verbal, and presentation skills - Attention to detail, accuracy, and high level of initiative - Ability to work unsupervised as well as part of a team - Proficient user of Microsoft Office - Ability to adapt to a fast-changing working environment - Excellent written and verbal communication and interpersonal skills in English and any other EU language is highly desirable - Ability to organize and prioritize to meet strict deadlines - Understanding of international tax regulations with regards to invoicing foreign countries - Experience using Oracle - in particularly using the Contracts and Invoicing transactions AVEVA requires all successful applicants to undergo and pass a comprehensive background check before they start employment.
